Employee Online Access (Web)
Dashboard/Electronic Access Wizard:
Electronic Access for W-2s: clickable for filings that have electronic access capable payees. (Currently is toggled in all cases in internal environments).
Electronic Access Wizard:
*Only internal @aatrix.com or @sovos.com email addresses can have emails sent to them currently. If you need to simulate changing email addresses. You can add . (period)s in the address, and it will still get sent to the same email address.
Example: kristopherlommen@gmail.com = kristopher.lommen@gmail.com
Search/Clear: Allows for searching/filtering off of provided First/Last names.
Checkboxes: When checked, and when “Email Access Letters” is clicked, emails will be sent to those checked payees.
Email Address Input Boxes: The email addresses can be changed for payees on this screen. Note that the changes must be saved (Via Save Changes) in order for subsequent Email addresses to be sent.
Select/Unselect All: Selects or deselects all payees in the table
Save Changes: Saves any and all Email Address changes made in the interface.
Email Access Letters: Disperses email access letters to all checked payees. Note that all changes must be saved first. Emailing is currently throttled to one batch email request every 2 minutes to prevent spamming.
Debug:Force regenerate EAID records: Temporary button that allows a simulation of an initial mode filing being resubmitted. Not useful for typical QA testing needs.

A few notes on this screen:
- Only the most recent form for a given EIN/year will show up for the payee in this list.
- For example, let’s say employee Kyle Hendrickson belongs to a company called “Aatrix Software” for EIN 11-222222. If the preparer for Aatrix Software files corrections a couple times, they’ll have three AFIDs: 10001, 10002, and 10003. In the list, only the W2 for AFID 10003 will show up. The PDFs for 10001 and 10002 will be under under the “Previous Forms” section.
- The page will timeout with inactivity and redirect the user to the login page. The current timeout is 15 minutes.
- The “View” and “Save” links are not guaranteed to work as described in the image. The website will try to display the PDF in the browser when they click the “View” button and will try to force a download with the “Save” button is clicked, but sometimes browsers will override this behavior. For example, on a mobile phone, the “View” link might actually open an external app (like a PDF viewer) instead of opening it a new tab in the browser.
Beneath the list of forms, you’ll also see a list of notices. You should only see notices corresponding to the types of forms the user has available to them:
